Collections
Creating, arranging, merging and tidying collections.
A collection is a named group of items of one type. An item can belong to more than one collection, so a painting can sit in Main Collection and Dining Room at the same time. The sidebar and tab bar scope the whole app to one collection, or to all of them.
Creating a collection
Choose New Collection on the Home hub, from the scope menu, or with ⇧⌘C on the Mac.
- Collection name.
- Type. Pick from the built-in types or a custom one. The sheet tells you what items and makers will be called. See Collection types.
- Library Layout. Artist Folders groups items by maker and you tap a folder to see their work. Flat Grid shows every item in one grid.
- Wallet Address, for an NFT collection. The collection mirrors the wallet's tokens. See NFT collections.
- Card Games, for a Trading Cards collection. The first game listed is the default for new cards, and name suggestions come from every game listed.
Opening and switching
- On the Mac, the Collection row in the sidebar carries the active collection's name. Its chevron, and the Active Collection picker in the toolbar, list every collection, then All Collections, then the sharing and management commands.
- On iPhone and iPad, the Collection tab shows the active collection. The collection picker at the top switches.
- Click a card on the Home hub to open that collection.
The collection page
The page shows the collection's items as a grid or a list. Use the Display picker to switch. The toolbar and its menu offer:
- Sort by: Date Added, Title, maker, Production Date, Year Acquired, Insurance Value or Main Colour. Main Colour groups items by the dominant colour of their primary image.
- Filters for medium, collection, Drafts, On Loan or In Collection, Insured or Uninsured, and market status. Active filters show as chips under the search field. Tap a chip to remove it.
- Search, which matches titles, makers, mediums, tags and years and forgives small typos. See Search.
- Cover Image: Choose from Files…, Choose from Photo Library… or Clear Cover. The cover appears on the Home hub card.
- Slideshow, a full-screen show of the collection's images. Set the interval with the slider, pause with the play button, and use the arrow keys on the Mac.
- Print, which renders what is on screen as a paginated PDF you can print or save. See Reports.
- Print Labels…, a sheet of QR labels for every item. See Capture and scanning.
- Share Collection and Manage Sharing…. See Sharing a collection.
- Wallets…, on an NFT collection.
Right-click a collection in a list, or open its menu, for Rename, Library Layout, Change Type, Merge…, Share…, Manage Sharing… and Delete. An NFT collection also offers Refresh from Wallet.
Arranging items
- Pin to Top on an item's menu floats it to the top of the grid. Unpin puts it back.
- Move to Collection on an item's menu adds it to another collection, or Remove from Collection takes it out of the current one. The item itself is never deleted this way.
- Bulk selection. Select several items and a bar appears with Tag, Move and Delete. Tag applies one tag to every selected item. Move adds them to a collection you choose.
Manage Collections
Manage Collections… in the scope menu opens a sheet listing every collection with its type and count. From here you can rename, reorder, change type, merge, delete, and open Wallets… for an NFT collection. The Sort by menu on the collections list offers Custom Order, Name, Most Works, Highest Value and Most Recent.
Merging two collections
Choose Merge… on a collection, or Actions ▸ Merge Collections… on the Mac.
- Pick Merge From and Merge Into.
- Decide whether to Delete the source collection after merging.
- Press Merge.
Every item in the source is added to the destination. An item already in both is not duplicated. The source is deleted if you asked for that. This cannot be undone, but Tidy Library and Backups can rewind the library as a whole.
Finding duplicate items
On the Mac, Actions ▸ Find Duplicate Artworks… lists every group of items that share a maker and a title. Each group shows how many copies there are and lets you choose which record to Keep. Press Merge… on one group, or Merge All… to fold every group into its keeper in one go. Valuations, condition reports, provenance, documents and collection memberships from the folded records move to the keeper.
The same tool runs from Tidy Library, which also finds items in no collection, unfinished drafts and blank rows.
Deleting a collection
Delete removes the collection. Items that were in it stay in the library and in any other collection they belong to. To delete the items as well, select them in the collection first and use the bulk Delete.
