Search
Plain search, filters, Advanced Search, Power Search, Smart Searches and Spotlight.
Plain search
The search field in every list matches titles, makers, mediums, tags and years. It ignores case and accents and forgives typos: one wrong letter in a word of four to six letters, two in longer words. Numbers such as years and catalogue numbers must match exactly.
Press ⌘F on the Mac to jump to the field. On iPhone, the Search or jump to… field at the bottom of the Collection tab opens the command palette, which searches items and makers and jumps to sections. See Finding your way around.
Filters
Beside the search field, filter the collection by medium, collection, Drafts, On Loan or In Collection, Insured or Uninsured, and market status. Active filters appear as chips; tap a chip to clear it.
Advanced Search
Advanced Search builds a query from rows of field, operator and value.
- Choose All criteria (AND) or Any criterion (OR).
- Fields: Title, maker, Medium, Location, Condition, Market status, Production Date, Insurance Value, Acquisition Price, Tags and Notes.
- Operators: contains, is, begins with, ends with, and for numbers greater than and less than.
- The sheet shows Matches: N of total as you build. Apply filters the list; Clear resets it.
Power Search
Power Search is a full query builder, like a smart folder. Open it with ⌥⌘F on the Mac, from the toolbar when Settings ▸ Appearance ▸ Show Power Search is on, or from the Mac Actions menu.
- Match All / Any of the following sets the top-level logic. Groups nest, so you can say insured AND (oil OR acrylic).
- Fields are grouped: Artwork (Title, Notes, Edition); People (maker name and nationality); Classification (Medium, Production Date); Status & Market (Insured, On loan, Market status, Acquisition method); Value (Purchase price, Insurance value, Asking price, Sale price, Unrealised and Realised P&L); Dates (Purchase date, Sale date, Date added); Media & Documents (images attached, image count, 3D model, documents, document type, provenance recorded, latest condition); Collections & Tags; and Location.
- Operators follow the field: contains and begins with for text; greater than, less than and between for numbers; before, after, on and between for dates; in the last N days; in year; is true or false; has or does not have; is any of or none of.
- The match count updates live as you edit.
- Describe it turns a plain sentence into a query. Type something like insured oil paintings by Japanese artists purchased between 2018 and 2021 with no photos, press Describe, and review the rows it builds before applying. This runs on the device with Apple Intelligence.
- Export… writes the results as CSV or a PDF schedule.
- Save… keeps the query as a Smart Search.
- Apply filters the Library; Clear and Cancel do what they say.
Smart Searches
A saved Power Search is a Smart Search. It lives in the sidebar under Smart Searches, stays live as the collection changes, and syncs to your other devices through iCloud. Tap one to apply it. The app keeps track of matches you have not seen since you last opened it. Right-click a Smart Search to Delete it.
Spotlight
Items and makers are indexed for the system-wide Spotlight search on Mac, iPhone and iPad. An item shows its title with the maker, year and medium beneath; opening it launches Collections. at that item.
