Keeping records
Values, condition and provenance
Valuations, insurance values, currencies, condition reports and ownership history.
Insurance value and acquisition price
Every item has two headline amounts:
- Acquisition Price, what you paid, entered in the Acquisition section.
- Insurance value, what it should be insured for, entered in the Insurance section. An item with a positive insurance value counts as insured.
Both accept any supported currency. The Home hub, Insights and the reports convert everything to your base currency, which you choose in Settings ▸ General ▸ Currency. The Insurance Value / Acquisition Price switch on Insights and in report options decides which amount the totals use.
Currencies
Conversion uses a bundled table of daily Reserve Bank of New Zealand exchange rates, so it works offline. Reports that convert an acquisition price use the rate on the acquisition date. The currency menu on every money field lists the supported currencies.
Valuations
A valuation is one dated opinion of value. The item page's Price History lists them and charts Value Over Time.
Add Valuation asks for:
- Value: amount and currency.
- Classification: Type, one of Purchase, Appraised Value, Replacement Cost, Insurance, Auction Estimate or Self Assessed; and Source, one of Appraiser, Auction, Self Assessed or Insurer.
- Appraiser / Firm and Notes.
A valuation can link to a document such as the appraisal itself. Spreadsheet imports that carry a market value, valuation date and valuer create valuations automatically. See Importing.
Condition
Set a Condition on the item: Not assessed, Excellent, Good, Fair or Poor. Changing it on save records a condition report, so the history builds up as you reassess.
Condition History on the item lists every report. Add Report asks for:
- Assessment: the date and the rating.
- Assessed By.
- Observations and Recommendations.
- Issues Observed, a checklist of Cracking, Fading, Flaking, Foxing, Surface dust, Discolouration, Mould, Scratches, Tears and Water damage.
- Photos from the Photo Library or Files.
Export PDF produces a Condition Report for the item with its identity at the top and every report on file beneath.
Provenance
Provenance is the chain of ownership. The item page shows it as a timeline under Provenance, with Manage to edit.
- The item's own Acquisition details and, once sold, its Sale details appear in the timeline automatically and stay in step when you edit them.
- Add Entry records an earlier owner or event: a Provenance line, an optional Date and Other notes. Entries can carry a transfer method of Purchased, Gifted, Inherited, Commissioned, Auctioned or Other, and a price.
- Tokens in an NFT collection get one entry per on-chain trade. See NFT collections.
Records brought over from the previous app may show Imported Provenance as a placeholder. On the Mac, Actions ▸ Fix Imported Provenance… clears that text so the real entries show.
Insurance policies
The Insurance report asks for the policy the schedule is for: report type, insurer, policy number and type, cover type of Market Value or Agreed Value with per-item overrides, excess, specified item limit and total sum insured. Save it as a Policy Preset and it loads next time. The insurer and cover type you used last also fill the Insurance section of new items. See Reports.
Loans and insurance
A loan carries its own Insurance Value and Insurer, filled from the last loan you recorded. See Loans.
