Storage locations

Recording where each item is kept.

A storage location says where an item physically is. Locations are shared across every collection, and Insights can show how many items are in each one.

What a location holds

  • Name, for example Study or Warehouse B.
  • Building or address.
  • Room.
  • Rack / Shelf.
  • Crate / Box.
  • Notes.

The item page shows the full path, such as 12 Queen Street / Study / Rack 3 / Crate 2.

Assigning a location to an item

Every item form and item page has a Location picker. It lists None and every saved location.

  • To add a location you do not have yet, open the picker and choose New Location…. The new location is selected as soon as you save it.
  • To correct the selected location's details, choose Edit, followed by its name, from the picker.
  • To remove it, choose Delete, followed by its name. The picker confirms first and tells you if items are stored there.

The picker works the same everywhere it appears, including the Location & Condition section of the New Item form and the Details on an item page.

Managing locations in Settings

Settings ▸ Data ▸ Locations lists every location.

  • Add Location creates one.
  • Swipe a row, or right-click it, to Edit or Delete.
  • The edit sheet has a Delete Location… button at the bottom, which confirms first.
  • Merge Duplicates folds locations that have the same name into one.

Deleting a location does not delete the items in it. They keep everything else and their location becomes None.

Where locations show up

  • The Locations card in Insights counts items per location. Tap a bar, or Unassigned, to see the items and move them to another location from the list.
  • The Library's location filter narrows a collection to one place.
  • Reports that include a Location column print the location's name.
  • Tidy Library reports locations that hold nothing and can remove them.
