Privacy and security

Where your data lives, what leaves the device, and how to lock the app.

Where your data lives

  • On your devices, in the app's own storage.
  • In your iCloud account, when you are signed in: records in your private iCloud database, images and documents in your iCloud Drive. Only devices signed into your Apple Account can read them.
  • In your Dropbox or OneDrive, only if you connect one for cloud backup, and only in an Apps ▸ Collections. folder the app cannot see beyond.

There is no Collections. server holding your catalogue.

What leaves the device, and when

Everything below happens only when you ask for it, and sends only what is needed for that request:

  • Lookups: the ISBN you typed goes to Open Library; a plate or VIN goes to the New Zealand vehicle register; a maker's name goes to Wikipedia or Wikidata when you press Search or Suggest.
  • Wallet reads send the wallet address to a blockchain indexer.
  • Marketplace and Partnerships listings you create, and your chosen location for them.
  • Feature requests you type in the Requests window are sent to the Collections. team by email.
  • Sharing: a collection you Collaborate on is placed in your iCloud database where the people you invite can reach it.

Label reading, card recognition, the Curator, the Power Search Describe it feature and the import tidy-up all run on the device with Apple Intelligence. Nothing is sent to an AI service.

The Beta Diagnostics tally in Settings ▸ Privacy counts which sections and actions you use, on the device only, with no identifiers and no item content. Turn it off with Count Usage on This Device, and send the summary only if you copy and paste it yourself.

Locking the app

Two locks are available, and either one is enough on its own.

  • Require Authentication on Launch (Settings ▸ Privacy) asks for Face ID, Touch ID, Optic ID or the device passcode each time the app opens. The lock screen shows the Collections. mark and an Unlock button.
  • PIN Lock (Settings ▸ Privacy ▸ PIN Lock) sets a four to six digit PIN. Enter it twice and press Set PIN. Require PIN at launch turns the lock on; Change PIN and Remove PIN do what they say. The PIN is stored as a salted hash in the device keychain, never as the digits.

The PIN screen shows a quote you can change under Lock screen quote, and a row of quick destinations so you can open straight into Artworks, For Sale, Loans or Insights after unlocking.

If both are set, you see the PIN keypad.

Backups and encryption

Local and cloud backups are encrypted. The key is kept in your iCloud Keychain so your other devices can open them. See Exporting and backups.
