Menu bar, widgets and shortcuts

The Mac menu bar item and Quick Capture, widgets, Siri and Shortcuts, Spotlight and notifications.

The menu bar item (Mac)

Turn on Settings ▸ General ▸ Menu Bar ▸ Show in Menu Bar and a small C. mark appears in the menu bar with a sync badge. Click it for a popover with:

  • Drop images or a link to create a Draft. Drop image files or a web link onto the zone, or press Paste to capture the clipboard. Each image becomes a Draft titled from its file name; a link becomes a Draft with the link in its notes. Up to ten at a time. Each new Draft gets an Open button.
  • Keep Open turns the popover into a small Quick Capture window that floats above other apps while you drag files in. The popover closes as the window opens.
  • The sync headline with last upload and download times, and a progress bar while images and documents download.
  • Loans due within seven days and the three most recent Reports, each opening in the app.
  • Open Collections. to bring up the main window, and a Settings button.

While the app is locked, the popover offers only Unlock Collections. to capture.

Two more switches on the same pane: Keep in Menu Bar When Closed leaves the item running after the last window closes, and Open at Login starts the app when you log in so the item is always there.

The capture hotkey

With the menu bar item showing, ⌘⇧A captures the clipboard as a Draft from any app. Copy an image or a link, press the keys, and the Draft is waiting the next time you open the New Item form.

Widgets

Three widgets are available on the Home Screen, the Lock Screen and the Mac desktop. They read a snapshot the app writes, so open the app now and then to keep them current.

Active Loans Medium, Large Up to three or six loans with who has them and when they are due, or Overdue

Tap a widget to open the app at the matching place.

Siri and Shortcuts

These phrases work with Siri, and the same actions appear in the Shortcuts app:

  • How many overdue loans in Collections. answers with the count.
  • Open Insights in Collections., or any other section.
  • Find or Show an item by name in Collections.
  • Generate insurance report in Collections. builds the Insurance schedule and hands back the PDF.

Spotlight

Items and makers appear in the system Spotlight search on Mac, iPhone and iPad. Opening a result launches the app at that record.

Notifications

  • Loan reminders: seven days before an item is due back and again on the day, with Mark Returned and Extend Loan actions. See Loans.
  • Warrant of Fitness reminders for vehicles that have Remind Me turned on: two weeks before the WOF expires and on the day.

Permission is requested the first time a reminder is scheduled.

A link of the form collections://artwork/… opens an item. QR labels and NFC tags carry these links, and widgets use them to open the right section.
