Understanding the collection

Reports

The PDF report types, the builder, the Report Library and the print buttons.

Reports are PDFs built from your catalogue. Open the Reports section, choose a type, set the scope and options, and press Generate PDF. Every report is saved to the Report Library.

Report types

Report What it contains
Insurance A schedule of insured items with values, for an insurer or broker. Summary prints one row per item; Full Detail prints one page per item. Options: include images, include uninsured works, and the full policy section below.
Collection Report A presentation of the items with the details you choose: image and additional images; serial or model, NFC tag, year, medium, dimensions, edition, specifications, publication; acquisition, insurance value, valuation history, market and sale; location, condition, loan, collections; provenance, exhibitions, documents; tags, notes and record dates. Include All Details ticks everything.
Catalogue Plates of every item with captions. Show Insurance Value adds values and a totals page.
Acquisitions What was acquired, optionally within a date range, with a Base Currency to convert totals at the rate on each acquisition date. Include images if you like.
For Sale Every item currently for sale, with asking prices. Include images if you like.
Sold Every sold item with sale details.
Loans An Active Loans Summary of active and overdue loans with each item's identity numbers. Always covers the whole library.
Artists/Creators/Brands One section per maker with their items.
Missing Details Items with gaps. Short Form lists them; Detailed says what is missing on each.
Duplicates Groups of items that share a maker and title.
Compliance Report A period statement of acquisitions and disposals for governance, insurance or audit review. Set the Reporting Period with open and close dates, choose the Collections, and include images if wanted. Always sealed and always whole-library. Its cover prints the Compliance Statement from Settings.
Change Log The whole library's change history as a PDF. One press from the toolbar, no options.
Custom A table of the columns you choose: Artist, Title, Serial/Model, Year, Medium, Dimensions, Edition; Acquired, Source, Acquisition Price; Insurance Value, Market status, Location, Condition, On loan, Loanee. Select All Columns and Reset to Default Columns help.

Building a report

  1. Press New Report (⇧⌘R on the Mac) or pick a type from the quick-start tiles. On iPhone, the types are grouped as Valuation & Insurance, Sales & Acquisitions, Audits, and Catalogue & Custom.
  2. Include sets the scope: All, Collection or Items. Items opens Choose Artworks… so you can tick individual items. The footer reads Works included: N of total. Loans, Compliance Report and Change Log always cover everything.
  3. Set the type's options.
  4. Under Settings, give it a Title and an Owner / Collector Name. The name starts with your Owner Name from Settings ▸ General.
  5. Press Generate PDF. Cancel Generation stops a long run. When it finishes you get Share PDF, Preview PDF and a Saved to library tick.

On the Mac, Export First Images… copies each included item's primary image into a folder you choose, named Maker - Title.

The insurance policy section

The Insurance report asks about the policy:

  • Policy Preset: save the details as a preset, load one, or turn on Load Automatically so it fills every time.
  • Policy: Report Type of Schedule of Insured Items, Renewal Schedule, New Policy Proposal, Valuation Update or Claim Schedule; Insurer; Policy Number; Policy Type.
  • Cover: Cover Type of Market Value or Agreed Value, Item Overrides for items that differ, and Excess.
  • Specified Items: a Specified Item Limit and the list of items specified. Specify Every Item Over the Limit ticks them all, and the sheet flags items over the limit that are not yet specified.
  • Sum Insured: Total Sum Insured against the Schedule Total, with the Headroom or Shortfall worked out, and free-text Policy Details.

The insurer and cover type you used last also appear on the Insurance section of new items.

Report settings

Settings ▸ General ▸ Reports applies to every report:

  • Paper Size: A3, A4, A5, US Letter, US Legal or Tabloid. A4 is the default.
  • Seal on All Reports stamps the Collections. verification seal on every report. Compliance Reports are always sealed. The seal records that the figures were read straight from the catalogue rather than re-keyed. It is not a valuation, an audit opinion or a certification.
  • Compliance Statement, the text on a Compliance Report's cover.

The Report Library

Report Library lists every generated report with its type, date, size and item count, grouped by day and month, with a filter rail by type and a Filter reports field.

  • Tap a report to preview it. The viewer offers Print (⌘P on the Mac), Download (⌘S), Share, and on iPhone AirDrop.
  • On the Mac, right-click a report for Show in Finder, Duplicate Settings, which reopens the builder with that report's type, and Delete.
  • Deleting removes the PDF and its entry, and cannot be undone.

Several screens have a Print button that renders the current view as a PDF, three items to a row with image, title, maker, year and value: the Library, a collection page, Loans, Sales, the Insights Activity timeline and the Domicile map. These use the Paper Size setting and are not saved to the Report Library.
